1. Groups are welcome every weekday when the Fall Festival is open; reservations are not required. Please visit coxfarmsva.com for information and tips.
2. Weekday group reservations are available between 10 am and 3 pm on most Mondays, Thursdays, and Fridays. Please refer to our online calendar for specific dates.
3. Weekday Group Reservations are available for weekday groups of at least 20 people who will enter the Fall Festival together and pay with a single payment.
4. There are no discounts for large groups, chaperones, teachers, etc. Everyone 2 years and older entering the Fall Festival grounds pays the same admission; children younger than 24 months are free.
5. A Weekday Group Reservation offers your group:
a. Advanced scheduling
b. Fast group check-in
c. The option to receive your admission wristbands in advance with prepayment (see 9a-b)
6. Scheduling your visit. Weekday Group Reservations are scheduled quickly, easily, and securely online. Please contact our Reservations department at [email protected] if you need assistance. Space for groups is limited, so please book early.
7. Deposit. A Weekday Group Reservation requires a $50 deposit, payable at the time of booking. In some cases, a school or company check may be accepted for the deposit, but such reservations cannot be confirmed until the $50 deposit is received. If paying by check, please ensure your group name and date of visit are included with your check; no personal checks are accepted.
8. Unconfirmed Reservations: Reservation requests are automatically canceled after ten days if the $50 deposit is not received.
9. Payment of Remaining Balance. The remaining balance must be paid in full before wristbands are issued and the group is admitted to the Fall Festival. To remit your remaining balance, please get in touch with our Reservations department at 703.830.4121 x5 with credit card information. If paying by check (payable to Cox Farms), please mail to Cox Farms Reservations, 15621 Braddock Road, Centreville VA 20120. Please ensure your group name and date of visit are noted with your check (personal checks will not be accepted).
a. If the balance is paid at least 14 days before your visit, we can mail your admission bands to you, or you can pick them up (preferred method).
b. If the balance is paid between 2 – 13 days before your visit, plan to pick up your admission bands in advance at Customer Service or at the Windmill Check-in Area when your group arrives (also preferred).
c. If the balance is paid less than 24 hours before your visit or on the day of your event, please send a representative to the Windmill Check-in Area to settle your account and pick up your admission bands. Goat food tickets are not included in this option.
d. Full payment must be received at or before check-in. If full payment has not been received, your group may be refused entry to the Fall Festival until payment is received.
10. Goat food tickets. Goat food tickets will be included only for groups who have prepaid and are having their wristbands mailed or are picking up their bands at least a day before their visit. Groups that pay their balance due and pick up wristbands on the day of the event will not receive goat food tickets.
11. Reservation changes. Email [email protected] to make changes to your reservation, including scheduled date, number of attendees, etc.
a. Additional Tickets. Additional admission tickets for the group must be added/purchased in advance. At the discretion of Cox Farms, group numbers may be adjusted upon check-in. Parents or chaperones not included in the group need to purchase their tickets online in advance. Tickets are limited and may sell out on busy dates.
12. Chaperones arriving separately. If your group has stragglers – people attending who are driving separately, running late, etc., please write their names on the back of their wristbands and leave them at Customer Service for pick-up by guests as they arrive. It is the group leader’s responsibility to inform chaperones if they need to buy their tickets separately and to let them know that if tickets are sold out, they won’t be able to join the group.
13. Refunds/Credits for Unused Tickets. Adjustments for unused tickets and refunds will be made after the group visit. If payment was made by credit card, the same card will be credited. If payment was made by a school or company check, Cox Farms will issue a refund check within ten business days of the payment check clearing.
14. Rain policy. If the Fall Festival does not open on the scheduled day due to rain (or for any other reason), relevant information will be posted at coxfarmsva.com and on our Info Line (703-830-4121) by 7:30 am. In this situation, the Weekday Group has the choice to reschedule or get a full refund. If the Fall Festival is forced to close during the group’s visit due to rain (or for any other reason), we will issue rain checks, in accordance with Cox Farms’ rain policy.
15. Cancellation. If the Weekday Group cancels their Fall Festival visit up to 48 hours before the scheduled visit, they are entitled to a full refund of their deposit and any payments made. If a cancellation is made with less than 48 hours’ notice before the scheduled visit, or if a group fails to appear, a refund will be issued, minus a $50 administration fee.
16. Group Leader. To facilitate communications and ensure a successful visit, the Weekday Group will appoint a group leader for their visit to the Fall Festival. It is this group leader whom Cox Farms will contact on all matters relating to the visit.
17. Chaperones and Supervision. It is the responsibility of the group leader to ensure that all children in the group are adequately chaperoned, including having a reasonable number of responsible adults supervising the children at all times. Cox Farms reserves the right to refuse admission or to expel from the Festival anyone who is not adequately chaperoned and supervised.
18. Hayrides. If a group wants to take a hayride together, they must all get in line at the same time; there are no hayride reservations.
19. Other policies. All Cox Farms Fall Festival policies apply to Weekday Groups, including NO: pets, alcohol, recreational drugs, firearms/weapons, or unaccompanied children under 14 years of age.
20. Variation. Any variation from these standard Terms & Conditions must be agreed in writing by the Weekday Group and by Cox Farms in advance of the scheduled event.
Beginning this fall and going forward, goat food tickets will only be included for groups that have prepaid AND either had their wristbands mailed out or have picked them up at least one day in advance of their visit.
Groups picking up wristbands on the day of their event will not have goat food tickets included in their packet. Please note that these groups can still visit the goats and there will be goat food for sale.
